Club Affiliation & Registration

Swim Ontario clubs reaffiliate on a yearly basis, with the new beginning of each season starting in September.

Affiliation Requirements

Swim Ontario member clubs agree to abide by all policies, rules and regulations as well as the bylaws of Swim Ontario. Member clubs should familiarize themselves with Swim Ontario procedures HERE

Clubs must be prepared to demonstrate that the majority of swimmer training shall be on-site with the affiliated club as registered on the club’s certificate of insurance (swimmers training with Swimming Canada/SO training centres and U Sport/NCAA affiliated teams are exempt). Clubs who cannot demonstrate the majority of training done on-site may be denied the opportunity to affiliate with Swim Ontario.

CONTACT INFORMATION

It is the responsibility of the Club to update all accurate club contact information on their affiliation form. The information on the Swim Ontario website is the information on the affiliation form. Clubs must also ensure all contact information is accurate for coaches, officials and club board members on the Swimming Canada registration system.

INCORPORATION

All Age Group clubs must be incorporated. (Organizations/Clubs that are the property of Government of Canada (Armed Forces) are exempt). Clubs must also report board of director changes to Ministry of Government Services

Registration Requirements

Clubs must register all swimmers, coaches and officials in the Swimming Canada registration system. This includes but is not limited to all competitive, pre-competitive, development, recreational, learn to swim, and Masters swimmers as well as all coaches and officials within 2 weeks (14 days) of registrant commencing participation.

SWIMMER REGISTRATION

  • All age group and para swimmers must be registered with an affiliated age group club (link to club list page).
    • There is no independent or unattached category for age group and para swimmers.
  • Masters swimmers can either be registered with a Masters club or as an Independent


COACH REGISTRATION

  • All club coaches must be registered in one of the registration categories as defined by Swim Ontario, Swimming Canada and the CSCA and is initiated in the registration system by the club registrar.
  • Independent coaches should contact Heather Dwinnell for instructions.


OFFICIALS REGISTRATION

  • Clubs are required to ensure every official is registered on the Swimming Canada registration site.
  • The registration of club officials is changing with the new Swimming Canada registration system (REMS). More details will be provided in mid-august.
  • Officials (Level 2 or above) not associated with a club can register as an Independent Official by contacting Nicole Parent for instructions.


New Club Applications

Complete applications must be received 90 days prior to a club’s intended start date. However, Swim Ontario may at its discretion, mandate a different start date to any provisionally approved club. Information in regards to requirements for new clubs can be found at links below
