2025-26 Competition Sanctions

An update for the 2025-26 season - Sept 5 update

September 5 update

The launch of meet listings and sanction applications in REMS has been delayed until Wednesday, September 10 at 12:00 PM (NOON) at the earliest. Clubs will not be able to list or submit applications before then, and any edits to previously listed meets may cause them to disappear. Please avoid “Manage My Meets” until further notice. In the meantime, ensure meet packages are updated and that swimmers, coaches, and officials reach Active status.

The 2025-2026 required meet package statements and meet package templates are now posted to the Swim Ontario website HERE

There have been several changes, updates and new statements added. To get a sense of these, we encourage Meet Managers and Competition Coordinators to review the SwimOntario required statement document found HERE to get a better understanding of the changes. Several are related to the new age group swimming rules put in place for September 1.

Meet Managers in collaboration with the Competition Coordinators can begin to prepare their meet packages for the upcoming season. As always changes can occur throughout the season at which point meet packages may need to be updated with the latest information.

REMS Meets functionality update

The REMS meet functionality has gone through testing and feedback provided. The most critical parts of the sanctioning process, entries and results upload will be made available to clubs no earlier than Monday, September 8.

Although affiliated clubs and their meet managers may get access to REMS as early as September 2, clubs will not be able to list meets or submit sanction applications until at least September 8. In fact, we strongly advise those that have listed meets to not attempt to modify them as it will remove the listing altogether. The prudent thing to do is to stay away from Manage My Meets in REMS until you hear from Swim Ontario.

What does this mean for October/November sanctions

We are aware the deadlines will not be met for sanction applications. As we have done in the past when faced with delays, we will continue to work with clubs to ensure their sanction applications, once received, are reviewed in priority order with October and November meets taking priority, however, very late applications with very little time before the entry deadline may be denied.

How to manage this small delay

  • Concentrate on making sure meet packages are fully updated to the 2025-2026 standards
    • Work on your event file to have it ready when you submit your sanction application
  • Make sure you have access to a REMS Admin account with your club.  Details HERE
  • Concentrate on getting swimmers, coaches and officials registered and to Active status

The above steps will go a long way to making the review process for sanction applications faster and making sure clubs can upload their entries via REMS with Active status swimmers.

Guides

Documentation on meet functions on REMS will be developed and available on the REMS Knowledge Base for Meet Managers and Club Entries Coordinators. Virtual training sessions will be available after the Swim Ontario conference. Registration is not yet available and dates are not determined.

Member Lookup feature & CSU update

A member lookup feature will be available through REMS as of September 2 which will allow REMS Admin users the ability to search registration status and basic information to help with transfers and deck entries at competitions.

As such, the CSU will have the following features removed on September 1, 2025:

  • Swimmer Lookup (REMS and Legacy RTR)
  • Coach Lookup
  • Support Staff Lookup
  • Entry/Results Validation
  • Para Active Roster
  • Dashboard

Beginning in September, validation of entry files will be done through REMS. A strong reminder to all clubs and in particular Meet Managers, club entry files are not to be accepted outside of REMS. All entry files must be submitted through REMS by all attending clubs. Meet Management is not to accept entries via email. This will then ensure a smooth results upload after the competition.

Club in-house Activities that have officials acting as officials

Clubs that are planning in-house activities with fully registered officials on deck but that times will not be recognized, such as mock meets within club training hours must complete the following online application form and receive approval before the activity. Preferably 2 weeks prior to the planned in house activity.

This does not apply for other club activities such as banquets, swim-a-thon, etc. Only activities in which Officials will be acting as officials (i.e. referee, starter, timers).
