2026-2027 Meet Package Configurator

An integrated feature within the official Google Doc 26-27 Meet Package template that automatically configures the document for a competition based on user prompted answers.

For the 2026-2027 season, Swim Ontario has replaced the previous meet package templates and Jotform with a single Meet Package Configurator. This change affects all meet types.

We know that changes to familiar processes can feel disruptive, especially during a busy season. We want to take a moment to explain why we have made this change and how it will actually make your life easier.

Previously, you either received multiple versions of the meet package template and selected the right one, or used a Jotform for simple meets. This meant tracking different files, different formats, and different processes depending on your meet type.

This season, there is one template, one process, and one document — regardless of whether you are running an Age Group championship or an In-House fun meet.

The Swim Ontario Meet Package Configurator is an integrated feature within the official Google Doc Meet Package template. This tool streamlines the preparation process by guiding meet organizers through a series of configuration prompts and selection options. Upon completion, the configurator automatically refines the document by removing sections that are not applicable to the specific meet, ensuring a precise and tailored final package.

THE CONFIGURATOR IS A STARTING POINT — NOT A LOCKED DOCUMENT

The official Meet Package “template” is 27 pages long — this is intentional. It contains every possible option for every meet type. Before configuration, the document will not make sense as a meet package and should not be downloaded or shared. Always run the Meet Setup configurator first.

Important for simple meet organizers: The Jotform is no longer available. The Meet Package Configurator is the only way to generate meet packages for In-House, Time Trial (Class I and Class II), and Varsity Dual/Tri competitions. There are no alternative templates for these meet types this season.

Once the configurator has run, irrelevant sections are automatically removed, leaving you with a clean, meet-specific document:

  • Simple meets (In-House, Time Trial Class I & II, Varsity Dual/Tri) — approximately 4 pages before your edits
  • Full meets (Age Group, Masters, Varsity) — approximately 8 pages before your edits

Once configured, the document is fully editable. You are free to adjust any optional content to suit your specific competition, for example,

  • changing seeding order,
  • adding eliminators,
  • adjusting wording for local facility requirements,
  • adding sponsor acknowledgements,
  • Adding additional meet information etc.

Make all edits before downloading your final pdf for REMS submission (Meet Setup → Download Word & pdf).

Or if you prefer to work in WORD, after the configurator is done, download to WORD is an option under Meet Setup menu.

GETTING STARTED — ALL MEET TYPES

  • Make a copy of the template HERE
  • Open the Meet Package Configurator Guide.
    • You can do this from the Meet Setup Menu. Follow the steps and screenshots provided if this is your first time.
  • Open your copy — Meet Setup menu appears in the menu bar along with Swim Ontario Resources menu
    • 🏊Meet Setup → Configure this meet package (You will need to authorize access.)
  • Step 1: Answer quick questions (meet type, sessions, relays, etc.)
  • Step 2: Select the options that apply to your meet
  • Click Apply — document configures itself automatically
  • Fill in blank fields, download as pdf, upload to REMS when applying for sanction.

DO I NEED A GOOGLE ACCOUNT?

Yes — a free Google account is required to access the template and run the configurator. If you do not already have one, creating an account takes about two minutes ataccounts.google.com.

We understand this may feel like an extra step, but here is why it is worth it:

  • The configurator only needs to run once. After that, you download your meet package as a Word (.docx) and work entirely outside of Google.
  • Google accounts are free, and many organizers already have one through Gmail, Google Drive, or an Android device.
  • Once you have a Google account, future meet packages take just minutes to set up.
  • Your selections are saved automatically — if anything closes unexpectedly, simply reopen and continue where you left off.

Clubs Using Their Own Template

  • All Swim Ontario mandatory statements must be included.
  • Download the Mandatory Statements Word document from the Meet Package Configurator:

    • Meet Package required statements
    • Several statements have been tweaked. Review the document carefully.
  • Changes may be made to these statements as Swimming Canada publishes changes to rules and safety documents.
  • The change date will be indicated in the Meet Setup menu configurator and on the MM webpage.
